Summary

The HRIS & Benefits Admin is responsible for the administration and management of the company HRIS/Payroll system and Benefits Plans and programs.

HRIS Administration: The primary focus is to support the maintenance of the human resource information system (HRIS) and be the expert report writer in addition to other systems supported by the HR team. This position serves as a technical point of contact for the HRIS and assists users, payroll and the HR teams with ensuring data integrity, testing of system changes, report writing and analyzing data flows for process improvement opportunities. The HRIS Admin also supports HRIS upgrades, patches, testing and other technical projects as assigned

Benefits Administration: The primary focus is to support daily administration of company’s benefits plans. Assists VP HR with the oversight for the design and administration of employee benefit programs, health (medical, dental, vision), welfare (life and disability) plans, 401(k) and other voluntary benefits plans (short term/long term disability, accident and critical illness, life insurance and AD&D). Ensures that compliance requirements are met by both internal staff and external vendors. Provides assistance during the annual Open Enrollment period and with other duties as they arise. Assures plans are in compliance with legal and ERISA requirements.

Essential Duties and Responsibilities

HRIS Administration

* Assist in the review, testing, and implementation of HRIS upgrades or patches

* Collaborate with functional and technical staff to coordinate application of upgrade or fix

* Partner with HRIS vendor and provide support for HRIS, including researching and resolving HRIS problems, unexpected results or process flaws; performing scheduled activities; recommending solutions or alternate methods to meet requirements

* Serve as a key liaison with third parties (HRIS vendor) and other stakeholders (e.g. payroll, accounting)

* Write, maintain, and support a variety of reports or queries using appropriate reporting tools

* Assist in development of standard reports for ongoing customer needs

* Help maintain data integrity in systems by running queries and analyzing data

* Develop user procedures, guidelines, and documentation. Identifies creative strategies for communicating and educating benefits programs to managers and employees.

* Train users on new processes/functionality

* Maintain awareness of current trends in HRIS with a focus on product and service development, delivery and support, and applying key technologies

* Train users on system functionality, updates

* Participate in user group meetings/conferences

Benefits Administration

* Responsible for administration of all benefits plans to include plan set up and monitoring, HRIS updates and uploads, carrier updates and uploads, data integrity, enrollments, terminations/COBRA, customer service, communications, training, etc.

* Project Manager for Company's Annual Benefits Open Enrollment Period, including responsibility for development and distribution of associate communications, election tracking/data interfaces and feeds, and HRIS and payroll updates

* Designs employee benefit communications and promotional programs including evaluation and updating of Plan Documents and Summary Plan Descriptions, benefit enrollment packets, open enrollment materials, and ongoing marketing/educational materials.

* Partners with VP HR to ensure compliance with legal and ERISA requirements, including annual IRS filings and revisions to and distribution of Summary Plan Descriptions, Summary Material Modifications and Summary Annual Reports.

* Ensures completion of all necessary employee benefits forms and documentation. Ensures proper filing in employee files.

* Partners with providers, broker, and AP as needed to reconcile and ensure payment of invoices

* Point person for wellness fairs and activities

* Responsible for other duties as assigned or developed

Education

* BS/BA degree preferred. Equivalent work experience considered

* HR/Benefits certification(s) a plus

Skills/Qualifications

* 3+ years’ experience with HRIS and payroll systems/platforms. Experience with Kronos a plus

* Strong analytical, data analysis, and reporting skills

* High level attention to detail

* Proficient in Microsoft Office, especially Excel

* Experience in a corporate environment

* 3+ years’ experience in benefits administration, including 401(k)

* Practical knowledge of ERISA and all benefits related laws and regulations (state and federal)

* Financial aptitude, analytical skills and ability to communicate effectively

* Proven project management skills and organizational skills as well as excellent process management skills
